It is distinct from a letting agent's management service — which focuses on tenants, rent collection and tenancy agreements — and instead concentrates on the building itself. Repair Diagnosis and Contractor Management

When something goes wrong, we diagnose the defect, specify the required remedial works and obtain competitive quotes from trusted local contractors. We assess the quotes for value, instruct the selected contractor, supervise the work on site and sign off the completed job. For absentee landlords and overseas investors, this is particularly valuable — you have a professional on the ground ensuring the work is done properly without needing to be there yourself.

Building Compliance Monitoring

We track and manage your statutory and regulatory compliance obligations across your portfolio — gas safety certificates (CP12), electrical installation condition reports (EICR), Energy Performance Certificates (EPC), fire risk assessments for HMOs and communal areas, asbestos management, legionella risk assessments and more. We maintain a compliance register for each property and provide advance notice of expiring certificates so nothing lapses.

Condition Surveys and Forward Maintenance Registers

We carry out baseline condition surveys for each property entering technical management, establishing a record of the building's current state. From this we produce a forward maintenance register — a costed projection of maintenance and replacement expenditure over the next five years. This allows you to budget accurately, plan for major capital items (roof replacement, boiler renewal, window replacement) and demonstrate prudent financial management to lenders, investors or fellow directors of a residents' management company.

Service Charge and Sinking Fund Technical Advice

For residents' management companies, right-to-manage companies and portfolio landlords operating service charge regimes, we provide technical advice on the adequacy of service charge budgets and sinking fund provisions. We assess the building's anticipated maintenance and major works liability, review the sinking fund balance against the forward maintenance register and advise on appropriate contribution levels. Our technical property management service focuses on the building itself — planned maintenance, major repairs, building compliance, contractor supervision and capital expenditure planning. Many landlords use both: a letting agent for the day-to-day tenant management and us for the technical building management. The two services are complementary, not competing, and we work alongside letting agents to ensure the property is managed holistically.

Do you arrange and supervise contractors?

Yes. We can diagnose defects, specify the required works, obtain competitive quotes from trusted local contractors, instruct the work, supervise the contractor on site and sign off the completed job. This is particularly valuable for landlords who are not locally based or who do not have the technical knowledge to assess whether a contractor's quote is reasonable or their work is adequate. We have built relationships with reliable contractors across all seven counties we cover — Bedfordshire, Buckinghamshire, Cambridgeshire, Hertfordshire, Northamptonshire, Greater London and Oxfordshire — and we only use contractors whose work we have seen and whose standards we trust. You are always free to use your own contractors if you prefer, and we can supervise their work as well.

What does technical property management cost?

Our fees are structured to reflect the size and complexity of your portfolio and the level of management you require. For a single property, technical management typically starts from around £125 plus VAT per month depending on the property type, age and condition. For portfolios, we offer scaled pricing that reduces the per-property cost as the number of properties increases. The initial consultation and property assessment are charged on a fixed-fee basis agreed in advance — we never start work without your approval of the cost. All contractor costs are passed through at cost; we do not take commissions or mark-ups from contractors, so you can be confident that the quotes you receive represent genuine best value.

How do I retain control over spending decisions?

You retain full financial control at all times. At the outset, we agree an authorisation threshold with you — for example, we are authorised to instruct repairs up to £250 without prior approval, while anything above that requires your sign-off. For planned maintenance, we present the schedule and budget at the start of each year for your approval. For unexpected repairs, we diagnose the problem, obtain quotes and present the options to you with a clear recommendation. You decide which option to proceed with and at what budget. We never commit you to expenditure without your explicit approval unless it is a genuine emergency affecting health and safety, and even then we will attempt to contact you first.

Can you work with my existing letting agent?

Yes, and we do so regularly. Technical property management and lettings management are complementary services. Your letting agent handles the tenants, the rent and the tenancy; we handle the building, the maintenance and the compliance. We communicate with your letting agent when repairs are reported by tenants, so the contractor is instructed through us but the tenant communication flows through the agent. This avoids duplication and confusion. Many of our clients use a letting agent for the tenant-facing role and us for the technical building role, and the arrangement works smoothly provided both parties are clear on their respective responsibilities from the outset.

Because technical management involves regular property visits — for inspections, contractor supervision and maintenance oversight — being locally based matters. If you have a portfolio spread across multiple counties, we can manage the entire portfolio under one arrangement, with different surveyors assigned to properties in different areas. There are no travel surcharges for any property within our coverage area.
